Holding meetings in a room without the appropriate modern technology is like making decisions using “rock, paper, scissors”!
But why do we need meetings at all?
Humans have evolved over thousands of years and succeeded in becoming the dominant species due to their ability to communicate. By extension, the life blood of all businesses is it’s communications, without it, it doesn’t exist ….. at all. As babies we learn to communicate to those around us both audibly and visually. Visual communication dominates early learning, language comes later.
So, it’s all about communication then? Yes it is and more than that, it’s about achieving the RIGHT decision or action or next move. This isn’t easy and so it is important to increase the chances of success. Not all people are good communicators, rather we are all different with various skills, abilities, priorities and desires – but all with a common goal…..oh yes, that is what we call a TEAM!
Visual aids such as large screen TVs and projectors have been around for a while and are not new. Presentation software and computers are known entities – using the software and producing good quality content is another subject, however. Large sized screens have decreased in price rapidly over the last couple of years so it is quite cost effective to install an appropriately sized display into your meeting room.
Video, Audio and Web conferencing is also well known and extensively used but the key is making all of the technology work well together easily and productively.
Presentations and other data is often required in meetings and connections to the projector or display are commonplace. In the past this has been via VGA connections but most recently adding HDMI for modern PCs and Laptops. Now this can all be done wirelessly, allowing presentations from Pcs, Laptops, iPads and other tablets.
Setting up the room can also present an issue, especially if it is unfamiliar. Control panels and systems have been around for many years but were cost prohibitive to most SMBs. This has and continues to change with many control systems with attractive touch panels becoming more affordable. Programming is getting cleverer and more creative too. The simple rule is that the touch panel control system is supposed to make things very easy, if it doesn’t or if you need a guide to use it, then it hasn’t been done well.
Don’t forget that communications is responsibility of sender…..not the receiver…..so to ensure meetings work well with a timely, successful outcome, communications need to take place.
Shorter meetings that achieve all the objectives with everyone fully informed and bought in is the aim of all companies……it will increase profitability, competitiveness, productivity and efficiency….simples!
People deal with people, a high performance team is unbeatable, meeting rooms are large pieces of real estate so must be highly regarded……let’s make them pay for themselves.
